Who it’s for

Built for businesses with 2–20 people doing real work — trades, clinics, agencies, logistics, retail.

01 In practice

What this looks like in practice.

Before

You chase overdue invoices by hand — writing the same awkward reminder email, again, at 9pm.

After

QuickBooks + Zapier send the reminders on a schedule. You only hear about the ones that actually need you.

≈ 3 hrs/week back
Before

Booking a job means phone tag: three calls, two voicemails, one “what times work for you?”

After

Customers pick a slot from your real availability — Calendly synced to your calendar. Zero calls.

≈ 2.5 hrs/week back
Before

You answer the same ten customer questions over and over — pricing, hours, scheduling, “do you do X?”

After

AI-drafted replies from your own answers sit ready in your inbox. You review, tweak, send in seconds.

≈ 2 hrs/week back

These are the fixes we prescribe most often — real tools, real monthly prices, no custom software. Your report has the ones that fit your business.

02 The problem

You’ve learned to live with it. We haven’t.

Here’s what we see: your business runs on workflows that work — but they’re manual. Spreadsheets. Phone calls. Forms filled twice. The same email written forty times a month.

You know it’s costing you. You feel it in the margins and on Sunday nights. But you’re running the business 50 hours a week — you don’t have time to become an AI expert, and you’re not hiring an engineer to figure it out.

So the hours keep disappearing. Quietly. Every week.

03 Is this you?

Check what sounds familiar.

Sunday night is for catching up on paperwork you couldn’t get to all week
The same information gets typed into more than one system
You’ve written basically the same email 40 times this month
Scheduling anything takes multiple calls or texts
A spreadsheet is doing a job real software should be doing
You bought an AI tool once — it’s still sitting there, unused

04 What we do

Find the hours. Map the fix. Get it running.

01

Find the hours.

A 45-minute conversation about how your business actually runs. Not a pitch — a diagnosis. We mine for the repetitive work that’s stealing your week.

02

Map the fix.

A report with 3–7 specific tools and workflows matched to your business — cost, setup time, and exactly how many hours each gives back. Quick wins ranked first.

03

Get it running.

We walk you through it live. Then you choose: run with it yourself, or have us build it with you.

Most of what your business needs already exists. Nobody’s told you which tools, in which order, wired together how. That’s the job.

05 The offer

Start with the assessment. Go as far as you want.

For scale: a part-time office hire runs $1,500+ every month. Five recovered hours a week is roughly $9,000 a year of your time. The assessment is $999, once — and credited in full if we build.

The assessment
$999

One 45-minute discovery call, a plain-English report with ranked fixes, hours-saved math on every recommendation, a 4-day quick-start plan, and a 30-minute walkthrough.

5+ hours a week found.

Implementation
from $1,500

We set up the tools from your report, wire them together, and train your team.

$999 assessment credited in full.

Custom builds · scoped per project

For problems no off-the-shelf tool solves: custom AI workflows, knowledge systems trained on your data, processes redesigned before they’re automated.

06 How it works

Two weeks, start to finish.

No workshops. No discovery phase that never ends. Four steps.

Week 1
1

The discovery call — 45 minutes.

Recorded, relaxed, no prep needed. We ask how your week actually works: what you dread, where work piles up, what you’d delete with a magic wand.

2

The analysis.

We map every pain point against tools we’ve vetted and priced — and cut anything that doesn’t fit a business your size.

Week 2
3

The report.

Stupid simple, on purpose. What to use, what it costs, what it saves, what to do first.

4

The review call — 30 minutes.

We walk you through it live and answer everything. Then the next move is yours.

07 The anti-pitch

What you won’t get from us.

Not in the deliverable:
A 40-page strategy deck you’ll never open again
A roadmap we couldn’t build ourselves
A tool recommendation because it pays us a commission — we take none
Custom software when a $19/month tool does the job
A junior analyst. There isn’t one.
And honestly, this isn’t for you if:
You’re a solo operator with no repetitive admin — you don’t have 5 hours to find
You want someone to run your AI strategy forever — we build things that run without us
Your systems work and your evenings are your own — genuinely, keep going
08 Your data. Your call.

Nothing runs without a human who can overrule it.

Where your data goes

The discovery recording is used to build your report and nothing else. Never shared, never used to train anything, deleted on request. Tools we recommend are vetted for the same standard.

A person owns every decision

Every workflow we set up drafts, reminds, or organizes — a human approves. Nothing sends itself to a customer unless you’ve decided it should.

Explainable, or it’s out

If we can’t explain to you exactly what a tool does with your information in plain English, we don’t recommend it. That rule has no exceptions.

09 Who’s doing the work

The person you talk to is the person who builds it.

Nick Barwick
Founder, Catalyst · Entropy Logic

Fifteen years in marketing taught me where a business actually loses its week — the follow-ups, the double entry, the same email written forty times. I’ve been the person in every org I’ve worked in who figured out what AI could really do, and I build software too: Zeph, Spotter, Faders, and Drift.

No account managers, no hand-offs, no junior team. The person who hears how your business runs is the same person who writes your report and wires up the fixes. At a big firm that’s a bug. Here it’s the entire point.

10 Proof

Real businesses. Real hours. Real math.

We don’t quote industry statistics. We put a number on the line: 5+ hours a week found.

That’s not a marketing line — the report shows the dollar figure on yours.

11 FAQ
How is this different from hiring a consultant? +

Consultants hand you a deck and leave. We’re forward-deployed — we diagnose because we’re ready to build. Every recommendation comes with the setup time, the cost, and the plan. And if you want it done for you, we build it — the assessment is credited in full.

Do I have to implement everything you recommend? +

No. The report is ranked by effort versus impact, and it leads with two or three quick wins. The 4-day quick-start plan exists so nothing feels overwhelming.

We already tried AI and it didn’t stick. +

That’s the normal outcome — most businesses buy a tool, poke at it, and quietly stop. The problem was never the tool. It’s that nobody matched it to your actual workflow and stayed until it ran. That’s the whole product here.

What if you can’t find 5 hours? +

You still leave with a clear map of where your hours are going — most owners have never seen it laid out. All it cost was 45 minutes.

Isn’t the “credited toward implementation” thing just a way to sell me the next tier? +

Fair question — some firms do use it that way. Here’s our answer: the report is written so you can execute every fix yourself, without us. Doing it yourself is a first-class outcome, not a consolation prize. The credit exists so that if you do want help, you never pay twice for the same thinking.

Is my business too small or too low-tech for this? +

If you have 2–20 people and repetitive work, no. The method is built for trades, clinics, agencies, brokerages, and e-commerce alike. The pain points change; the method doesn’t.

What happens to the recording of our call? +

It’s used to build your report and nothing else. Never shared, never used to train anything, deleted on request.
